What's the opportunity?

You'll collaborate closely with the Olivine team as well as client stakeholders at top companies across sales, marketing, sales enablement and product. You will support Olivine by scheduling client meetings, taking meeting notes, tracking project progress, building project reports, and more.

The Operations Associate role is perfect for someone who is earlier in their career either currently freelancing or wants to start freelancing with the benefit of a team to connect with and learn from.

What will you be doing?

As an Ops Associate supporting the Olivine leadership team, some of the things you will be helping us with are:

  • Scheduling meetings with clients, managing Zoom

  • Project management in Asana - both internally and with client work

  • Join key client calls, take notes, capture action items

  • Joining team meetings to take notes, capture actions, and help us stay organized

  • Help with handing off deliverables to clients via email, InVision, or client folders like Google Drive/Sharepoint

  • Help build project shells in Asana

  • Help with client kickoffs and collecting intake materials

  • Research - client competitors, finding influencers, planning swag

  • Help with travel and offsite planning

  • Help facilitate team meetings and events

  • Organize project information, files, and data.

What skills/traits do I need?

  • Self-starter attitude and a bias towards action

  • Good communicator - reading/writing/speaking English

  • Accountability for completing work on time

  • Serious attention to detail

  • Eager to learn, receive constructive feedback, and try new things

  • Bonus points if you are comfortable with Zoom, Asana, Google Docs/Slides/Sheets, Loom, Miro, and Slack.

What experience do I need?

  • 1-3 years minimum experience in Operations or Project Management roles. Bonus points if you’ve worked in the Marketing or B2B SaaS space.

What’s the commitment?

  • Starting in April 2022, we’d need 25 hours a week.

  • When you work is mostly flexible, but you’d need to be able to attend team and client meetings during weekdays in PST/EST timezones (core time range between 9 am - 2 pm PST)

  • We’d start with a 3-month trial period and if it’s a good mutual fit, we’d expand your term.

What’s in it for you?

  • 100% remote — work from anywhere, as long as your working hours overlap with US PST and EST time zones.

  • Work with and learn from top product marketing leaders.

  • Engaging and dynamic work with top tech companies including Envoy and ServiceNow.

  • Learn the ins and outs of running an agency and our areas of focus: product marketing, design, sales enablement, and video production.

  • Work remotely with Fridays flexible.

  • A diverse team from all over the world. Our teammates are based in San Francisco, Boston, New York, Costa Rica, Argentina, Portugal, and more.

  • Supportive, happy teammates who genuinely care about each other and what we do in and outside work.

How to apply

  • Through our website’s application form here select the position “Operations Associate”.

  • Record a 5-minute Loom introducing yourself and letting us know why you’re excited about the opportunity and why you think you’d be a good fit for the role.

  • Optional but appreciated: attach your resume, link to your website, and links to sample work you’ve accomplished (blog posts, landing pages, etc.).

  • Let us know what your hourly rate is (USD) which we will use for your paid test project (ballpark is fine, we can discuss together what feels right for everyone). People who don’t submit their hourly rate won’t be considered.

The Olivine team will review initial applications, and then for the people we’d like to get to know better, we will set up a Zoom interview. After that, we’ll assign you a paid test project to see if it is a mutually good fit.
